Coaching offer for less experienced volunteers?

You guys, one of the OTRS admins offered a less experienced volunteer a coaching role. The volunteer declined. I see talks above about simplifying the rule, but how would that change what recently happened? --George Ho (talk) 11:06, 7 April 2017 (UTC)

Actually I think that @Krd: was a little too optimist there. I am the one who coached Dan Koehl showing him some typical cases, as he was willing to help with our backlog. I don't think that asking him to do the same to someone else is feasible, as he just started to deal with permissions tickets. Leave him some time to make his bones! :) In order to reduce the backlog, we should have as a regular procedure a coaching stage by experienced users, in order to increase the number of new operators working on the queues without hesitating too much in appointing them. --Ruthven (msg) 14:59, 7 April 2017 (UTC)

Agree with Ruthven. But I can say, that with the generous assistance of Ruthven, I view the coaching concept as an effecient way of bringing in more users with limited experience, instead of refusing their applications due to dito. Dan Koehl (talk) 15:07, 7 April 2017 (UTC)
I volunteered because it was sort of mentioned in Dan Koehl's application, and I knew him from Wikispecies. Since then, I haven't seen any sort of request, but yes, if we have trusted users that apply, I can explain them the basics. We could start with written tutorial for simple cases. For example, we could have a checklist for accepting "simple" cases. I would even publish it on Commons so we can show it to people sending permissions. --Jarekt (talk) 15:41, 7 April 2017 (UTC)

I think mentioning the IRC channel might not be a bad idea. I did not choose to get involved with IRC myself, but if I had had any doubts, it would have been good to have known about. Oh, and nothing is quite as useful as seeing a few "typical cases"!! "In this kind of queue, here is a gentleman who is concerned about X" or "who wishes to release the copyright to image Y but appears to have conflict-of-interest problem Z"— "Here is how we can/ cannot assist him/ Here is what we still need him to provide for us/ Here is why this kind of ticket is suspect", "Here are a few canned responses you might choose to respond with/ Here are some responses you definitely do not want to send to this client", etc. Would have been a Godsend. Inspired by Jarekt's suggestion, I made a (very) simple flowchart on how to handle a typical OTRS ticket (for newbies). Actually such a flowchart has been asked sometimes by OTRS operators beginning in the permissions queues. It might be a good idea to use it (or something like it) to illustrate the handling of tickets, and have in the future tickets that are simple and easy to close. I am not sure how to handle cases where a person sends email from anonymous email account and uses his username or code name to sign the permission. Few times that I have seen that the permission also had some other issue, and when I asked for clarification, I never heard back. Submission for 2017 Wikimania conference

Hello, I have a lot of persons who ask me how to send permission after the file have been deleted. I direct them to OTRS, however, as it is not allowed to recreate deleted content, I want to add the sentence (highlighted in gray):

If any of the following statements is one you could make, then you must send an email to the OTRS system:

"I have received permission from the original author (not me) to upload the file to Commons."
Please forward us a permission statement to the address listed above. We require that owners make a clear statement that they release the image under a free license. To help prevent confusion or misunderstandings we prefer one of the email templates be used. Permission grants must specifically contain a free license grant and may not merely give permissions for Commons or Wikipedia. If you have already uploaded the image to Commons, follow the instructions on Template:OTRS pending. If the image has been deleted, do not recreate the deleted content but include in the correspondence a link to the deleted image or a link to your talk page in order to help the work of the OTRS volunteer.

Krd, I think there's nothing wrong with the banner. And I don't mind having both unless others think that the transcluded subpage is unnecessary. Currently, I'm awaiting the Wikimania submission regarding OTRS to be accepted. Update about Wikimania submission regarding OTRS

Forwarded permissions

COM:OTRS#Licensing images: when do I contact OTRS? reads "Please forward us a permission statement to the address listed above." Not sure if this is the right venue to start this discussion, but does anybody here can contact Metro-Goldwyn-Mayer to ask for permission to reuse this still photograph of the movie Ronin? (source here) I really would like to use it on the English Wikipedia, but couldn't find the company's email nor do I live in the US to contact them via hotline. Any help would be really appreciated. [Ticket#2018071510002076]

I received a question from OTRS about the ticket a week ago and sent an answer by email with the ticket number in the title. However I neither got a message, that my mail was received, nor another question, nor was there a change to the 70 affected files. The ticket is only about documenting a legal question, that WMDE commented on (the ticket contains the WMDE-ticket-number as reference), so I thought it should be no problem to verify this position has been commented on in the ticket.

How do I find out, if my answer was recieved by OTRS?

Picture example

Translation bug? Bracket around #ifexpr: tag causes error.

In regards to a diff, I traced back to the translation original. Strangely the part  does not make sense translating into ja, not the ifexpr tag represents in ja, or }} remains in the output. Why you enclose if template among tvar tag? What is the way around solving this issue on local language side? -Omotecho (talk) 06:54, 26 November 2019 (UTC)

Belated OTRS permission

Way back in 2008, I asked the artist Pavel Riha (who had then recently uploaded some art from his website to Wikipedia under free licenses himself) if I could upload more of his art from there, which he agreed to: "Upload the images to Wikipedia under GNU-license please, I'd have done the same not being so lazy." I was not very well-versed in Commons policies back then, so I never actually provided evidence of this correspondence here, I just uploaded the images. So I wonder what I can do now and how? I sitll have the emails, which I could somehow forward, though I don't know how to do that with the entire conversation. "outstanding or professional quality"

Shouldn't that be a plus for the uploader, not the other way around? If we discourage "outstanding" and "professional" quality photos for new users, how will their photos be nominated for COM:FP? I think the wording should be clarified here. pandakekok9 09:08, 17 March 2020 (UTC)

OTRS ticket ID #2008020510022029

Could you confirm if ticket id #2008020510022029 applies to the following images by Flickr user David Haberlah (he is an English Wikipedian as well)? They're marked "all rights reserved" on Flickr, but File:MaleFemaleDate.jpg from the same photoset has an OTRS ticket, and I'm guessing it probably applies to all images from the set.

Also, the following image was deleted, but if the ticket is valid for the above images, this one should be restored as well:

Clarify text

I think that the text of the copyright release needs to be rewritten to make it clearer. Painting is a medium; photography is a medium. "Media" is the plural of "medium". You can't copyright "the media" or a "medium". You copyright an expression in a medium. When the release talks about "the media", I think it really means the file on Wikimedia Commons. Gadget

Is there a reason the OTRS gadget is no longer providing the links in the lefthand toolbar on file pages? It's been fine until now, so I unchecked it in my preferences, saved that setting and then reactivated it but it's still not showing up. Any ideas? Ww2censor (talk) 17:31, 17 December 2020 (UTC)

Carbon copies and reply all

@Praxidicae: I noticed you reverted my edit in this edit of yours. At COM:ON, we often have uploaders asking for status of permissions they asked authors to send. Having those authors carbon copy the uploaders, and then use reply all thereafter, facilitates a better user experience. I and others have been advocating for use of carbon copies and reply all for many months, without objection. I seek consensus to change "Following this, ask the author to forward the email with their clear statement of permission to permissions-commons@wikimedia.org, including the full header and any previously exchanged correspondence with you, and a link to the image on Commons" to "Following this, ask the author to forward the email message with their clear statement of permission to permissions-commons@wikimedia.org, including: the full header; any previously exchanged correspondence with you; a URL for the file on Commons; a carbon copy to you; and a request to reply all thereafter to keep all in the loop".   — Jeff G. please ping or talk to me 16:00, 21 April 2021 (UTC)

@Bluerasberry: Not exactly. In the typical scenario I have been seeing time and time again, A is a Commons uploader, or a potential uploader with a Commons account. They have convinced copyright holder B to send OTRS permission for some work or works that A wants to upload because B can't or won't upload independently. B promises A they have sent the permission, but A wants to be sure because some time has passed. If B doesn't carbon copy A and ask for reply all to stay in the loop, or at least send A a ticket number, A has no clue about what is going on, and so out of frustration posts to COM:ON requesting an update and making OTRS look bad. Composing, researching, and replying to A's request would be entirely unnecessary if A was carbon copied and kept in the loop by reply all actions in the first place.   — Jeff G. please ping or talk to me 00:42, 23 April 2021 (UTC)

OTRS rename

"OTRS" is the name of proprietary software, and in my view, was never a good name for this process. It would be something like calling this process the "Google" process if we had used that company for software. Recently the Wikimedia Foundation changed the software from OTRS to Znuny, and the name makes even less sense as now "OTRS" just refers to the software we used to use.

I proposed a rename some time ago and a lot of people expressed interest in speaking out for a choice.

Since this process affects all Wikimedia projects in all languages I think the discussion should happen on meta. However, I expect that Commons uses this process about as much as all other Wikimedia projects put together, so I think the Commons community should have a big say in proposing new names.

The ideal name probably is short, translates well, emphasizes volunteer and community ownership of the process, and comes from the community with community support. Thoughts from anyone on the name and how to manage a discussion? Blue Rasberry (talk) 14:27, 24 April 2021 (UTC)

This user has uploaded some files from their website after having received a VRT approval on 29 January 2022. I had not noticed that the user had had contacted VRT in the past, and tagged their recent uploads with copyvio. Essay on submitting social media selfies for Wikipedia biographies

The en:Pangina Heals article had a lot of well-meaning copyvios yesterday when the subject posted to Instagram expressing horror (possibly in jest) that the Wikipedia article showed them making a middle-finger gesture to camera and asking "Can someone help me change my wikipedia profile image to NOT THIS?!?!". Fans piled in to replace it with whatever other images they could find online, which wasn't that helpful, and comments on that Instagram post didn't seem to offer any advice, with en:Maria Poonlertlarp lamenting that she'd tried to change her own Wikipedia photo in the past and "got blocked" (whatever that might mean).

In this age of visual social media where people upload images of themselves all the time, it seems like an oversight that there's no simple, accessible overview explaining how the subject of an article could quickly and easily make a social media post (eg. an Instagram photo) to release a photo of themselves under a CC-Attribution licence. It would save a lot of time and get a lot more useful photos onto Commons if there was a straightforward essay that could be posted as an Instagram or Twitter response when someone complains about their Wikipedia picture, telling them to just use a simple magic phrase on the caption of their next selfie.

I've had a go at writing one at Commons:Submitting selfies and would welcome input on whether it covers everything it needs to. I'm aiming to just follow the existing "I created the file myself, it hasn't been previously published, and I am the sole owner of its copyright" of the VRT page here, but there may be other cases that could be easily added, particularly if we're happy to regard an Instagram/Twitter post from a verified account as being equal proof of identity as an email from a particular domain name. --Lord Belbury (talk) 15:12, 12 May 2022 (UTC)

Sinon, une autorisation au VRT n'est pas nécessaire, ez il n'y a pas de raison pourquoi le fichier soit supprimé.

There is a discussion between me and @Jameslwoodward: about the usage of files by a composer and friend of mine, who died some weeks ago and sent the files to be embedded in his article Taymur_Streng (de.wiki), which we both wrote together in February. As I noted on my talk page, cited above, and in the UnDR, now closed, we have no evidence of a free license from Taymur Streng. In addition she has another surname, so I thought, that maybe we would ask for a copy or photograph of the certificate of inheritance. Twitter and Instagram

Hello. In this passage it says "Edit the post containing your photo to indicate that it is published under a free license. If the platform does not allow editing of posts (e.g. Twitter), then make a new post referring back to the photo. Please ensure that visibility is set to public.". Is that what I read? If so, it's a wonder. I contacted several people through Twitter, Instagram and YouTube, but when I say that for me to upload the photos on Wikipedia they have to send the photo to Flickr or by email to OTRs, they give up (because they think it's too complicated) . So now I'm just going to ask them to edit the Instagram photo description comment with "This photo is licensed under CC-BY-SA-4.0+". Now, on Twitter, where you can't edit the photo description, I'll ask them to reply to the photo with the comment "This photo is licensed under CC-BY-SA-4.0+". Does anyone know this will work? I didn't get much response when I raised it further up this talk page last month, but I've been trying to get an essay together at Commons:Submitting selfies to address exactly this problem, if anyone has any further input on it. Strongly agree that asking someone to put a CC sentence in a social media post is much more likely to get results than requiring them to create a Commons account and/or fill out a laborious VTRS form - and that would be even easier if we had a pre-written essay that we can link people to, rather than having to explain everything in a series of tweets (particularly the important consequences of CC-licencing, that "licensed under CC-BY-SA-4.0" isn't just a mystical synonym for "put my photo on Wikipedia please"). --Lord Belbury (talk) 11:07, 27 June 2022 (UTC)

Proposed addition about rejected emails

I sometimes see emails from us being rejected by spam filters and the like. In some environments those filters are applied by default, and users who are not tech-savvy might need to be reminded. On that ground I propose to add:

Agents might ask for additional information from you in a reply to your email. Be prepared to respond in a timely manner, and make sure that your email client is not rejecting emails coming from <code>wikimedia.org</code>.

This could perhaps be phrased differently, but in general I think people might not realize what the entire procedure will look like and might be confused as to what they might have to do after sending an email. whym (talk) 11:14, 16 August 2021 (UTC)

I understand there are such issues happening. What I don't understand is how it affects the proposal here. Perhaps I should clarify that I only meant to document the already existing practices. It is my understanding that agents have routinely asked followup questions for clarification regardless of whether it is made explicit here or not. In the most simple case the question might be "I don't know which file this permission is for, is it File X or File Y?". Do we have experience of mail from VRT being caught in spam filters? I think it is very unlikely that wikimedia.org would be blacklisted (did the proposer suggest the domain should be whitelisted?). My experience of legitimate e-mail being caught in the filter (I have a good provider: few false negatives, few false positives) is that there have been obvious problems with the e-mail. In such cases the VRT volunteer should check their e-mail agent – or rather, any VRT volunteer should send e-mail to somebody who can check that their software and settings are in accordance with best practices. –LPfi (talk) 14:17, 28 June 2022 (UTC)

I think you can find more by searching for parts of characteristic phrases used in those automated messages. It may not be clear if one particular case is truly a result of a spam filter or not, though. Images

Hello... I am super new to all of this stuff and I just need to ask for some help and some questions. I am hoping to add some images to this article, but I am finding quite hard. I am pretty sure that all images from inside the cathedral when the ceremony occurred will be copyrighted as the public was not allowed inside and it was streamed. Is there a "loophole" or something I can do to get around this because there's three certain images I really want to obtain: an image of foreign royalty at the funeral, the processional and a picture of the 20+ priests standing in the cathedral. People without access to email

Per discussion at [8]: what about copyright-holders without access to email, whether because they are computer-illiterate or for other reasons? I realize we have a strong preference for email correspondence with the copyright-holder, but when that is not feasible, what exactly is acceptable? Can we accept:

  • A JPEG or a PDF of a written, signed release (so someone else could digitize a paper document and send a copy)?
  • An actual written, signed release on paper? (and if that is acceptable, to what address could it be sent?

@Jidanni: attempt at an answer:
  • It is probably a better idea for them to specify one license. There might be legal difficulties in delegating the choice of a license.
  • Before you can do this, we still need to hear from them (once) via the usual VRT email to establish that they are authorizing you to do this. The email needs to establish their identity and to specify the account name that will be uploading on their behalf.
  • When you upload:
    • Credit the actual photographer as author in the "author" field of {{Information}}.
    • (Optional but recommended): credit the actual photographer as author in the "author" field of the relevant license template.
    • Cite VRT permission in the usual manner in the "permission" field of {{Information}}.
  • As an alternative to VRT, they can indicate this on a website or page that is clearly under their control (e.g. if the material in question is already on Twitter, they can tweet out the permission). In this case, you would cite the relevant URL in the "permission" field of {{Information}}.

File:Keffals catgirl.jpg was deleted on November 20, 2022, even though as indicated here, the original uploader, Keffals, licensed it under a compatible free license. The reason given was that the file had no VRT ticket, which seems kind of goofy to me, since the uploader still licensed it under a free license and was okay with it being uploaded to Wikimedia Commons.
