Batch uploading

Quick introduction: my name is Jean-Frédéric and I have handled the technical part of several batch uploads with French institutions. I was also involved in the GWToolset project. So feel free to ask me any questions on this topic :)
Some quick answers first:
- there is some documentation (pre-GlamWiki toolset) available at Commons:Guide to batch uploading.
- for the GWtoolset, see Commons:GLAMwiki Toolset. Basically, to get going, you need 1/ to have the files available somewhere online at a URL and 2/ to have metadata structured in XML format. We can see to convert metadata to XML for you if possible.
Best way forward in my opinion would be to open a page at Commons:Batch uploading to discuss the specifics of your project.

- Hi Jean-Frédéric, thanks for getting back to me so quickly - it does seem like one of the barriers to understanding how to get started is that I haven't been granted access to the Toolset yet. I've requested in a couple of places so I'm just waiting on that. Perhaps a page on Commons:Batch uploading is a better place to ask this question, in which case I will migrate it, but below is an example of the raw metadata as it's coming out of our databases:

- Yes, I saw and answered your email on glamtools@ but forgot to cc you. Here’s what I said:
- « Are you referring to gwtoolset.wmflabs.org ? This is really a test/demo instance in my understanding, not sure this is the best place for you.
- I would suggest you use the Beta Cluster − a copy of Wikimedia Commons for testing purposes. The Toolset is installed there as well. And you can break everything there too :) I’d be happy to grant you GlaWikiToolset access there. »

- That is fantastic - yes I got the e-mail so I will play around and hopefully that will help a lot. I thought that the GWToolset was the best way to go about uploading the content; if not, is there a relatively simple alternative? - The GWToolset is designed to only rely on (a) your mapping of the metadata (in xml format) to one of the Commons standard templates using the visual front end, (b) xml data including links to where the images can be uploaded from and (c) the source website for the images being added to the "whitelist" of upload sites. There other tools, see Commons:Upload tools, but the mapping of metadata to use on the image page then becomes more tricky to ensure it is done well.
- Stick with it, 2,500 images is relatively modest, but this would be a good case study to demonstrate the GWToolset. --Fæ (talk) 10:59, 18 April 2014 (UTC)

Expiry of GWToolset user group memberships
[edit]There is a proposal on the Bureaucrat's noticeboard to automatically expire GWT memberships after one year unless the user requests an extension. Please add your views and suggestions to the discussion. The reasonably informal process for getting access to GWT access will remain as is.
