Licensing
[edit]That Smithsonian tag you are using is not a license, it is for images from Smithsonian Institution Archives, not for pictures of current employees. You need to clarify the license, rather than using that tag. Using {{PD-USGov-SI}} might be valid.
- beware, photos of current employees might well be in the archives, (you certainly have no evidence they are not) ; it is a valid license used across many images on this site; and since you are talking to an archivist, you might want to AGF. if you want to begin a review of this license, let's go. Discussion on COM:Undeletion requests apparently involving you

A series of files were deleted with reasons like: (No source since 26 March 2015: you may re-upload the file, but please cite the file's source) This is a very simple situation, on the face of it, lack of "provenance." There are those on Commons who believe that the photographer's name must always be known, and a chain of permission established, but that is not necessarily true. The Undeletion request was premature and unnecessarily argumentative (which can lead to denial). Rather, you were allowed re-upload. Perhaps you had a question about how to handle "source" information. It's simple, really: disclose known fact. If something that might be important is unknown, also disclose that. Your conclusions about copyright may be stated, briefly, but avoid attempting to argue copyright law, on the file page, because it irritates too many here who believe they know it better than anyone else. Just the facts. If you state an opinion as a professional, note that, but do not assume that you are "correct." Professionals also make mistakes. Yet professional testimony is valuable.
Instead of re-upload, which would still be less disruptive than an Undeletion request, the normal first step would simply be to ask the deleting administrator to undelete so you may provide source information. Only if that is refused would you re-upload (in this case). My opinion is that you may, as a professional and representative of a reputable organizational archive, state that an image is releasable to the public domain or under a cc license, and that is prima facie evidence, rebuttable, that this is so. Circumstances can vary, and, then, there should be a deletion discussion, not speedy deletion.
Commons can be difficult, to be sure. For secure image hosting, Flikr may indeed be safer. On the other hand, Commons is immediately accessible for use by any WMF wiki, whereas otherwise individual uploads to the various wikis may be needed for hosting under a backup "non-free rationale" (usually Fair Use).
At this point, I recommend that you explicitly support the undeletion request I linked to, indicating that you will provide provenance information as we need, whatever you have. If there is still a problem, then there would be ordinary COM:DR. DR outcomes are not necessarily easily predicted.

Commons categorisation

I've noticed, that you are using the Commons category system in a non-standard way. I don't want to blame you, because you are apparently doing like this since 2012 and no one has ever told you to do things different.
There is a rule to always place an image in the most specific categories, and not in the levels above those (COM:OVERCAT). Let's take File:JoGayle Howard (1951-2011) with Clouded Leopard Cub, 1992.jpg as example: Category:Female scientists from the United States is a sufficient categorization; Category:Scientists and Category:Scientists from the United States are redundant to this.

- Scientists from the United States
- Female scientists from the United States
- Scientists from the United States

- Thank you for explaining the rule as I was not aware of it! I am an infrequent commons contributor and was worried about these women not having the same recognition as their male counterparts. By ategorizing them as 'female scientists', am I creating a separate grouping from male scientists when they are all just scientists? Sometimes the distinction is helpful from a research standpoint but I :didn't want to naively create any additional biases for them! If you have resources to point me to explaining all the ways tags are used, I'd appreciate it!

- currently there is indeed a separate grouping for female scientists (and African American scientists too). IMHO this increases their visibility, because they would be nearly invisible in the general category. It would be no problem to create a category Category:Male scientists from the United States for reasons of equity, but then someone would have to clean-up the general category all the time.
